The Heads Register provides salary data grouped by salary heads (e.g., Basic, HRA, Allowances, Deductions) for detailed analysis.

    1. After logging in to the Company Main menu, go to Reports > Payroll Reports > Heads Register
    2. The Heads Register Criteria form will open. Fill in the details as follows:
      • View – Select the format of the report (Detail / Summary).
      • Payment Date – Enter the date range (From Date and To Date) for salary payments.
      • Attendance Date – Enter the attendance date range if the report needs to consider attendance.
      • Head – Select a salary head (e.g., Basic, HRA, PF, Loan) or choose All.
      • Department – Choose a department, or leave as All.
      • Designation – Select a specific designation, or keep All.
      • Employee – Pick an individual employee, or keep All.
      • Paid? – Filter the report by payment status (All / Paid / Unpaid).
      • Same Page? – Tick if you want all data printed on one page.
      • Having Heads Only? – Tick this if you only want records that contain salary heads (excludes blank records).
    1. Steps to Generate Heads Register:
      • Select the required View format (Detail / Summary).
      • Enter the Payment Date and Attendance Date ranges.
      • Choose a Head, or keep All to include every salary head.
      • Apply filters such as Department, Designation, Employee.
      • Select Paid? to restrict results to Paid or Unpaid if required.
      • Tick Having Heads Only if you want to exclude records without salary heads.
      • Click Show to preview or Print to generate the report.

Notes:

  • This report is useful for analyzing salary distribution across different earning and deduction heads.
  • The Summary View provides totals for each salary head, while Detail View lists transactions employee-wise.
  • Use Having Heads Only to clean up reports and exclude employees with no head allocations.
