To create new employee records follow the steps below:


    1. After logging in to the Company Main Menu, go to Masters > Employee
    2. The New Employee entry form will open. Fill in all the details as below:
      • Code - It is auto-generated by the software; but you can change it manually if required.
      • Name - Enter the full name of the employee.
      • Department - Press F4 to select the department from the list (e.g., HR, Production).
      • Designation - Press F4 to choose the employee’s designation (e.g., Manager, Operator).
      • Shift - Press F4 to select the work shift of the said employee.
      • Permanent Address - Enter the permanent residential address of the employee.
      • Current Address - Enter the current residential address here (if different from permanent).
      • Res Phone - Enter the residence landline number here (optional).
      • Mobile - Enter the employee's mobile number here.
      • Gender - Select gender from the list.
      • Marital Status - Select marital status from the list.
      • Date of Birth - Enter the employee's date of birth in DD/MM/YYYY format.
      • Joining Date - Enter the date of joining the company.
      • Category - Select employee category from the drop-down list.
      • Sub Category - Select employee sub-category from the list.
      • Weekly Off Day - Choose weekly off day (e.g., Sunday).
      • Left Job - Tick if the employee has left the job.
      • Left Job Date - Enter the date the employee left the job.
      • Status - Tick to mark employee as Active (currently working with your company).
      • Notes - Press F4 to enter additional notes or remarks for the employee.
      • Photo - Click on ‘..’ button to upload employee's photo.
      • Clear Image - Click to remove the uploaded photo from the record.
    1. Go to 2. Other Details and fill in all the details:
      • Cast - Select the caste of employee from the drop-down (e.g., General, SC, ST, OBC).
      • PF No - Enter the employee's Provident Fund number.
      • ESI No. - Enter the Employee State Insurance number.
      • Bank Name - Enter the name of the bank where the employee holds an account.
      • Bank Account No - Enter the bank account number of the employee.
      • IFSC Code - Enter the IFSC code of the employee's bank branch.
      • Grace Days - Specify the allowed grace days for attendance or salary purpose.
      • Guarantor Name - Enter the name of the guarantor (if any).
      • Guarantor Address - Enter the complete address of the guarantor.
      • Aadhar No - Enter the employee's 12-digit Aadhar number.
      • Voter ID - Enter the employee's Voter ID card number.
      • Driving License - Enter the employee's driving license number.
      • PAN - Enter the employee's Permanent Account Number (PAN).
      • Passport Number - Enter the employee's passport number (if available).
      • UN No - Enter the Universal Account Number (UAN) for PF.
      • Work Type - Select the type of work from drop-down (e.g., Full Time, Part Time).
      • Salary Type - Select how the salary payment term – Daily, Monthly, Weekly.
      • Basic Salary - Enter the employee's basic salary amount.
      • One Day Work Hr - Enter standard work hours for one day (e.g., 8.00).
      • Police Station - Enter the name of the local police station for reference.
      • Police Station Address - Enter the full address of the mentioned police station.
      • Nominee Name - Enter the name of the nominee for insurance/PF benefits.
      • Nominee Address - Enter the address of the nominee.
      • PF No Login ID - Enter the login ID used for PF portal access (if applicable).
    1. Go to 3. Relative Details and fill in all the details:
      1. Relative 1 Name - Enter the full name of the first relative or emergency contact.
      2. Address (Relative 1) - Enter the complete address of Relative 1.
      3. Contact No (Relative 1) - Enter the contact number of Relative 1.
      4. Relative 2 Name - Enter the full name of the second relative or emergency contact.
      5. Address (Relative 2) - Enter the complete address of Relative 2.
      6. Contact No (Relative 2) - Enter the contact number of Relative 2.
      7. Relative 3 Name - Enter the full name of the third relative or emergency contact.
      8. Address (Relative 3) - Enter the complete address of Relative 3.
      9. Contact No (Relative 3) - Enter the contact number of Relative 3.
    2. Go to 4. Documents and fill in all the details:
      1. App. For Job - Click the browse (..) button to upload the employee's Job Application file. Use the “View Application” button to preview the uploaded file.
      2. Add. Proff - Click the browse (..) button to upload an Address Proof document (e.g., Aadhar, utility bill). Use the “View Address Proof” button to see the uploaded file.
      3. Resig. Letter - Click the browse (..) button to upload the Resignation Letter (if applicable). Use the “View Resignation Letter” button to view it.
      4. Other Doc. - Click the browse (..) button to upload any Other Supporting Document. Use the “View Other Document” button to open it.


       (Note: You can enter the fields you want and leave rest of the fields blank and proceed.)

    1. Once all the details have been entered, click on Save button. Your employee account will be created.
    2. New button will be activated. To create another employee account, click on New button and repeat the steps mentioned above.
